The Opportunity

Delaware North Parks and Resorts is hiring a full-time Maintenance Administrative Assistant to join our team at Yellowstone General Stores in West Yellowstone, Montana. As an Maintenance Administrative Assistant, you will be responsible for performing clerical and secretary duties to help the organization run efficiently.

$22.00 - $25.00 / hour

Responsibilities

  • Work as an administrator for the computerized maintenance management system (HOTSOS / Amadeus).

  • Provide basic administrative support which includes coordinating activities and meetings, preparing expense reports, processing invoices, and contacting team members.

  • Assist with managing work order entries, running reports and assisting with trainings for the Mountain Region office.

  • Complete daily tasks including answering phones and emails, screening callers, and managing documents.

  • General Compliance reporting for YGS per maintenance plan.

  • Assist the regional project director and area facilities managers with the processes of submitting and implementing Delaware North capital projects.

  • This includes editing, reviewing, and submitting project scopes of work (SOW), annual capital requests, vendor set up forms, and contracts with general contractors, and general conditions contracts for projects.

  • Maintain and file these records.

  • Communicate directly with representatives of the National Park Service to submit such as: letter of transmittal, compliance form, project statement, request for notice to proceed, close-out report, completed work order report – CAs & FPCAs, task statement, annual accomplishments, and other facility required communications regarding projects or facilities within Yellowstone National Park.

  • Maintain and file these records.

  • Prioritize work to meet deadlines with minimal guidance as to established times.

  • Continue work on managing and closing out National Park Service Condition Assessments for Yellowstone General Stores.

  • Assist with submitting and managing purchase orders for regional facilities managers.

  • Assist with managing all regional fleet records. This includes maintaining insurance, titling, and registering all vehicles within the Mountain Region Delaware North fleet.

  • Operate a motor vehicle when necessary.

  • All other duties as assigned.

Qualifications

  • Ability to live in West Yellowstone, MT.

  • Prior Park Service experience highly preferred.

  • Facilities management background preferred.

  • High school diploma or GED.

  • Minimum of 3+ years of experience in a fast-paced administrative or office position, including experience with office administrative procedures, use, and operation of standard office equipment.

  • High proficiency in Microsoft Office Suite, including SharePoint.

  • Willingness to learn other software applications in the areas of project and maintenance management (HOTSOS).

  • Willingness to learn other software applications as needed..

  • High level of interpersonal skills to handle sensitive and confidential situations.

  • Ability to prioritize and handle multiple tasks simultaneously.

  • Basic math skills include addition, subtraction, multiplication, division, fractions, and percentages.

  • Strong communication skills, written and verbal.

  • High level of interpersonal skills to support a variety of tasks while exercising judgment and complete confidentiality.

  • Must have valid driver license and clean driving record.
